The Society is run by a voluntary Committee of 12 people, elected at our Annual General Meeting in March.
The individuals who currently hold the various positions, are listed below.
The Chairman chairs the Annual General Meeting, regular Committee meetings, Sub-Committee meetings and audition panels. Other responsibilities include taking the lead in negotiations with theatre management, councils or other societies. The Chairman also hosts our events and represents the Society at other functions.
The Vice Chairman chairs meetings, handles negotiations and represents the Society in the absence of the Chairman. Other responsibilities include membership of the Finance Sub-Committee and attending some Joint Societies Meetings at the Playhouse.
The Treasurer carries out the Society's bookkeeping and handles all invoices, payments, bank accounts, expenses and insurance. Other responsibilities include liaison with the Society's appointed accountants in the preparation of annual accounts.
The Secretary is the first point of contact for members of the public. Responsibilities include liaison with licence-holders to check availability and obtain contracts, including organising the arrival and return of scores, libretti and scripts. Other work includes correspondence with set hire companies, property hirers, the National Operatic and Dramatic Association, rehearsal venues and members of the Society. The Secretary is also responsible for membership newsletters and administering auditions
The Assistant Secretary helps the Secretary and takes minutes at meetings. Responsibilities include maintaining a reference record of directors, musical directors, choreographers and other production team members who have worked with the Society. The Assistant Secretary produces full listings of cast holiday commitments and prepares acceptance and rejection letters for those who have auditioned.
The Publicity Co-ordinator promotes the Society and its productions, with help from the Publicity Sub-Committee. This involves liaison with the local media, Cheltenham Borough Council and other bodies. Posters, programmes and booking forms are designed and distributed for each production. Responsibilities include selling advertising space in programmes and arranging publicity photographs and displays for theatre windows and boards.
General Committee Members holding no specific office assist in various activities, as well as sitting on Sub-Committees and audition panels.
